How-to guide

Invite colleagues to your plotvera organisation

How plotvera team access works: compare seat limits, invite a colleague or consultant securely, understand owner and member roles, accept with the correct email, and remove access when work changes.

Invite colleagues who need to work with the same suppliers, plots, screenings and filings. They join your existing plotvera organisation and use its plan, so they do not need separate subscriptions.

Step 1: check your seats

Open Settings and find Team. The seat counter includes active people and pending invitations. Free and Trader include 1 seat, Pro includes 2, and Business includes unlimited seats. Only Pro and Business can add teammates.

Reserve seats for colleagues or consultants who need internal records. Suppliers who only submit plot data should use the supplier collection flow and do not need seats.

Step 2: send the invitation

Enter the person’s exact login or sign-up address in Teammate email, then select Invite teammate. The secure link only works with the invited address, and the pending invitation reserves a seat until it is accepted or revoked.

Step 3: join the organisation

The teammate opens the link, logs in or signs up with the invited address, then selects Join organisation. This moves the account into your organisation and opens its shared records. An account that owns another workspace with teammates must transfer that ownership first.

Manage access

Only the organisation owner can invite or remove teammates. Use Revoke for an unused invitation and Remove when a member no longer needs access. Removing a member releases the seat but keeps the organisation’s compliance records.

Avoid common access problems

  • Wrong email: revoke the invitation and resend it to the account address. Forwarding the email does not change the invited identity.
  • Full plan: revoke an old invitation, remove a former member or upgrade before inviting again.
  • Open handoff: reassign unfinished reviews or filings before removing a teammate.
