Plotvera pricing is easier to choose when you start with the work your business actually performs. You can begin free with 3 screenings and no card, learn how plot collection and risk review fit together, and pay only when you file. An occasional importer can buy one completed DDS at a time. A regular filer can subscribe for an ongoing workflow, while a downstream operator or trader can choose a plan built specifically for keeping upstream DDS references.

The right plan is therefore not simply the largest one you can afford. Ask how often you are the first operator filing in TRACES, whether you only handle goods already covered upstream, how many colleagues need access and how many plots form your active supply base. The comparison below states what each tier is designed to do so you can avoid paying for routine filing tools you do not need or discovering during filing season that a one-off workflow no longer fits.

Pay-as-you-go versus a subscription

Pay-as-you-go is the sensible choice when filings are rare and easy to separate. You prepare a specific consignment, validate its geometry, run the satellite screening, build the document pack and pay for the TRACES-ready DDS for that statement. There is no reason to maintain a subscription during quiet months merely because you may import again later. Keep your source evidence organised, then return when the next consignment becomes concrete.

A subscription makes sense when the work is continuous: suppliers submit plots throughout the year, several consignments overlap, risk cases require mitigation, or the team needs monitoring and alerts between filings. Pro is the working plan for regular first operators. Business adds the coordination tools and access model needed by a large supply base. Estimate a normal year rather than the busiest week, and remember that you can switch later if the pattern changes.

Why the Trader plan exists

Trader is deliberately different from a cheaper version of Pro. It serves an EU downstream operator or trader whose goods were already covered by an upstream operator’s DDS. Under Art. 5, the recurring job is to collect the upstream reference and verification number, connect that pair to the correct consignment and preserve the evidence for 5 years. That is why the tier centres on consignment records, reference-keeping and alerts.

Routine plot screening and DDS filing are absent by design because repeating the upstream operator’s work is not the normal downstream route. If one part of your business imports directly from outside the EU, that flow may still need Pro or pay-as-you-go even while downstream flows use Trader. What seats mean for your team

A seat is one person with access to the shared plotvera organisation, not a second subscription and not a separate evidence store. Free and Trader include 1 seat, Pro includes 2 seats and Business has unlimited seats. Because the owner also occupies a seat, Pro normally supports the owner and one colleague. Pending invitations reserve capacity until they are accepted or cancelled.

Choose on the number of people who genuinely need to work inside the compliance record. Suppliers using a self-service collection link do not need team seats. Fair-use plot ceilings are soft, not hard caps

Pro is designed around fair use to 500 plots and Business around fair use to 5000 plots. These are planning ceilings for normal service use, not gates that suddenly delete a plot or block a live statement when the count is crossed. They help align the subscription with the scale of data processing, monitoring and support that your supply base requires.

Count the active plots you expect to validate, screen and monitor, not only the number of suppliers. One cooperative may represent many farms and many plots. If the supply base consistently sits above the stated fair-use level, speak with plotvera about the right operating setup rather than splitting one evidence chain across artificial accounts. A temporary seasonal spike is different from a permanently larger programme.

Annual billing includes two months free

Monthly billing preserves flexibility when you are testing a new sourcing flow or expect a short filing season. Annual billing costs the equivalent of ten monthly payments, so two months are free, and is usually better when supplier collection, monitoring and audit readiness continue all year. The product features are the same within a tier; the choice changes the billing period and effective price.

Base the decision on how long the workflow needs to remain active, not only on the customs month. Evidence collection often begins well before arrival, and alerts or mitigation can continue after filing. If the business needs that continuity, annual billing can be the clearer budget. If the requirement is genuinely short, monthly billing avoids a longer commitment.

How to upgrade

Open Billing, compare the available plans, choose the tier and billing period, then complete Checkout. The organisation owner manages this step. Once payment succeeds, the organisation receives the plan entitlements, so teammates work under the same upgrade rather than purchasing separately. An invoice is issued for every payment for your finance and audit records.

You can change or cancel at any time, which means the first choice does not lock the business into one operating model forever. Upgrade before inviting beyond the seat allowance or before a filing period that requires subscription features. When changing plan, review which active workflows depend on monitoring, supplier outreach or team access so the handover is deliberate.

Answers to the practical buying questions

I only file once or twice a year. Do I need a subscription?

No. Use pay-as-you-go when each filing is occasional and you do not need continuous supplier outreach, mitigation tracking or monitoring. You pay per completed statement and can return for the next one. If the preparation becomes a year-round process rather than an isolated filing, move to Pro then.

Does one DDS cover many plots?

Yes. One DDS can include many production plots when they all belong to the goods in one consignment or statement. The charge is per DDS, not per plot. The important control is that every included plot actually contributed to the covered goods and that unrelated farms are not added merely because they belong to the same supplier. Can I switch later?

Yes. Start with the smallest model that matches today’s work, then change when filing frequency, role, team size or plot volume changes. A business can begin free, use pay-as-you-go for an early consignment and subscribe when filings become regular.
